BEE READY RENTAL, LLC RENTAL CONTRACT & TERMS AND CONDITIONS
Lessor hereby agrees to lease to Lessee the equipment described on the face of this agreement or in attached schedules in accordance with the following agreement:
1. Reservation Deposit and Payment
- A 25% non-refundable Reservation Deposit is due at the time of booking. No rental items will be held until the Reservation Deposit is paid. The remaining balance is due at the time of customer receiving rental items.
- Lessee authorizes Bee Ready Rentals to charge the credit card(s) on file for the remaining balance due for their rental services, as well as any additional charges that may be incurred, including but not limited to, cleaning fees, replacement costs for damaged or lost items, and any other fees as outlined in this contract. The Customer agrees that Bee Ready Rentals may process these charges without further notice or consent, ensuring timely and efficient settlement of all outstanding amounts. This authorization remains in effect until all charges related to the Customer’s rental have been fully paid.
2. Cancellation and Reduction Policy
- Cancellation and Reduction Notice Requirement: Cancellations and reductions must be made at least 72 hours (3 days) before the scheduled pickup or delivery time to avoid additional charges.
- Reservation Deposit: The 25% reservation deposit paid at the time of booking is non-refundable, regardless of when the cancellation is made.
- Late Cancellations: Cancellations made less than 72 hours before the scheduled pickup or delivery time will be charged the full rental amount.
- Refunds: No refunds will be issued for any unused rental items.
- How to Cancel: To cancel a reservation, contact Bee Ready Rentals via email at Contact@BeeReadyRentals.com or text (385) 461-3734. Provide your booking details and the reason for cancellation.
- Force Majeure: In the event of unforeseen circumstances beyond our control (e.g., natural disasters, extreme weather conditions, government regulations), Bee Ready Rentals reserves the right to reschedule or cancel the rental agreement. In such cases, we will work with you to find a suitable alternative date or provide a credit for future rentals.
- Non-Refundable Services: Any additional services or fees, such as delivery, setup, or exact time delivery service, are non-refundable once rendered or scheduled.
- Amendments to Policy: Bee Ready Rentals reserves the right to amend this cancellation policy at any time. Any changes will be communicated to customers and will apply to future bookings.
3. Delivery and Pickup
- Standard Delivery: Delivery is made to a convenient point for the delivery vehicle to park. Extra charges will result in deliveries to upstairs, elevator use, or any point where extra time is involved.
- Setup and Knockdown: Lessor’s service does not include setup and knockdown of tables and chairs. If this service is required, arrangements must be made several days prior to delivery with a special charge quoted. If no arrangements are made and this service is desired on delivery, our driver must call for authorization. If time permits, we will try to accommodate you after quoting the price. On pickup where no prior arrangements have been made and equipment is not knocked down and assembled in the same location as delivery, if time permits, the pickup crew will knock down and load all equipment at the expense of the Lessee. A knockdown fee will result if equipment is still up.
- Accessibility: If the delivery location is not easily accessible, is on a hazardous road, or in a location where trucks do not usually go, there can be an audit to the final price.
- Late Return Fee: A late return fee of 50% of the rental price per day will be charged for each day the equipment is returned after the agreed-upon return date.
4. Equipment Use and Care
- Property Ownership: The leased equipment shall at all times be and remain the sole and exclusive property of Lessor. Lessee shall have only the rights to use the equipment in accordance with the terms of this agreement.
- Damage and Theft: Lessee agrees to pay for any damage to rented equipment regardless of cause, except reasonable wear and tear, while equipment is out of possession of Lessor. Lessee also agrees to pay a reasonable cleaning charge for all equipment returned dirty, in Lessor’s sole, reasonable judgment. Accrued rental charges cannot be applied against the purchase or cost of repair of damaged goods. Rental Equipment damaged beyond repair will be paid for by Lessee at its Replacement Cost when rented. The cost of repairs will be borne by the Lessee, whether performed by Lessor or at the Lessor’s option by others.
- Prohibited Actions: No staples, tacks, or pins can be used to attach your own things to any equipment. Any damage will result in a charge to fix or replace equipment.
- Weather Conditions: Lessee assumes all weather-related risks involved in holding an outdoor event. Lessor may endeavor to minimize said risk; however, if the tenting becomes unusable due to high wind, snow, rain, flooding, extreme cold or heat, or any other factor beyond Lessor’s control, despite any efforts or lack thereof taken or not taken by Lessor, Lessee shall be liable for payment in full of all charges.
5. Lessee’s Responsibilities
- Inspection: Lessee acknowledges responsibility to inspect the equipment prior to its use and to notify Lessor of any defects.
- Safety and Use: If the equipment becomes unsafe or in disrepair for any reason, Lessee agrees to discontinue its use and to notify Lessor. If the defect is the result of normal use, Lessor will repair or replace the equipment with similar equipment in good working order if available. Lessor is not responsible for any incidental or consequential damages caused by delays or otherwise, and Lessee hereby waives any right or entitlement thereto.
- Permits and Licenses: Lessee shall at its own expense and prior to the installation of the equipment provide all necessary permits, licenses, and other consents.
- Returning Items Clean: All rental items must be returned in the same condition they were received. This includes being free of dirt, stains, and other debris. Linens must be returned dry and free of waste. If items are returned dirty, a cleaning fee will be charged. If items are returned damaged, Lessee will be charged for repair or replacement costs. Items left out in the rain/weather will be considered excessively worn, and Lessee will be charged a prorated rate of 1/8th of the replacement cost for such items.
6. Additional Terms
- Subleasing: The Lessee may not sublease or loan the equipment without the Lessor’s written permission. Any purported assignment by the Lessee is void.
- Photography: Lessee grants Bee Ready Rentals permission to take photographs and videos of our equipment during their event. These images and recordings may be used for social media, advertising, and other promotional purposes. The Customer understands that these materials may be shared publicly and may include images of the event setup, equipment in use, and surrounding areas. Bee Ready Rentals agrees to respect the privacy of event attendees and will not use any images in a manner that would be considered intrusive or inappropriate. This authorization is granted without the need for further consent and is applicable to all future events unless otherwise specified in writing.
- Return Condition: At the expiration of this contract, or sooner upon Lessor’s demand, Lessee promises to make available for pickup by Lessor at the time specified in the contract, in the condition and repair as when delivered to Lessee, subject only to reasonable wear and tear. Lessee shall be liable for all damages to or loss of the equipment occurring because it was not available for pickup when specified. If the Lessee has agreed to return equipment to Lessor, Lessee shall be responsible for all loss or damage to the equipment from the time of delivery to Lessee until returned to Lessor. If the equipment is returned in a damaged or excessively worn condition, Lessee shall pay Lessor the reasonable costs of repair and pay rental on the equipment of one-half the regular rental rate until repairs have been completed. Lessor shall be under no obligation to commence repair work until Lessee has paid therefore.
- Insurance: Lessee agrees to furnish Lessor access to, and the right to use, Lessee’s electrical and power lines for installation and operation of the rented equipment.
- Liability Waiver: Lessee agrees to defend, indemnify, and hold harmless Lessor, its employees, agents, and subsidiaries from and against all claims, liabilities, losses, damages to property or personal injury, and expenses of every character whatsoever, resulting from the actions, negligent or otherwise, of Lessee or its agents, employees, or subcontractors, or anyone acting on Lessee’s behalf.
